Running an office comes with numerous expenses, from electricity to office supplies. You can't avoid paying for some things, but you can still find ways to spend less. The more you spend on your office, the less money you'll have for treating your staff or growing your business. By saving money around your office, you can often avoid being wasteful too. It can make you more conscious about the equipment and supplies that you're using, as well as how much energy and water you're using to keep the office going. Take a look at some of the ways you could be saving money in your small office.
Repair Your Furniture and Equipment
Is a desk chair not wheeling or rotating as well as it once did? Maybe the printer keeps getting jammed, or a desk is looking a little worse for wear. While the thought of buying some new stuff might be fun, it's likely to be cheaper to consider making some repairs. If you can get away with replacing a caster on a chair instead of buying a whole new chair, you're going to save a lot. Of course, sometimes the best thing to do is to replace something. If you have to pay someone to fix a computer every couple of months, a new one might be much better value.
Have Rules for Using Office Supplies
Do you feel like your office supplies get used up faster than should be humanly possible? If you don't understand where all your pens and paper clips disappear to, you might need to put an office supply policy in place. It doesn't take much to set some rules for your staff to follow that can help them let go of their addiction to staples. You can write up some guidelines for when office supplies should be used and how many should be used at a time. If you're not sure whether the rules will be followed, put someone in charge of being stationery czar.
Keep Energy Costs Under Control
Your energy costs can be one of your major expenses, even in a small office. Fortunately, it's always possible to look at ways of reducing them. Firstly, you might want to consider switching energy providers to see if you can get it cheaper. Your next step should be to reduce your energy consumption. There are easy ways to do this, such as using LED light bulbs and making sure equipment is switched off at the end of the day. Make sure your staff are on board.
Another way to spend less on office supplies is to reduce your reliance on them. For mysmall biz I've decided to get rid of using a lot of paper and related supplies, and I've gone more digital. There are lots of free and inexpensive ways a small office can begin to use more digital tools. You could start off by using tools like Google's suite of applications, Dropbox, and similar things that will help you work digitally.
As a small office, you might already be trying to save money. But there are always things you can do to save more.
