It’s a problem that every business has to come face-to-face with at some point. Regardless of how motivated and how hardworking your team can be, they just can’t seem to get over the productivity hurdle. A lot of it is down to how they’re used to doing their work and the tools they’re using to do it, too. It’s no surprise that the solutions to your productivity problem also lie in the world of technology.
Work interruption is a serious problem that can cost you hours a day. Distraction and employee motivation can play a big role. But that might affect individuals. When there are real tech problems in the office, that’s going to affect absolutely everyone. For instance, you need to look at your internet connection. If it’s slow or unreliable, it can get in the middle of important communications, marketing, the use of the Cloud, and a slew of other processes. First, look into diversifying your internet connections by using wi-fi hotspot devices when your network fails. Otherwise, look into the bandwidth you’re getting. Get in touch with your net provider. It might be a bad or old router, it might be that something in the office is interfering with it. It might even be that one device, in particular, is hogging all the bandwidth.
Spreadsheets after spreadsheets
Spreadsheets, tables, and other admin tools have a lot of organization value. We’re not going to deny that. But if they grow too extensive and too numerous, they can be a serious source of busywork. No-one should have to spend their day querying spreadsheets, especially if there exist tools that could help them with the specific job they’re trying to do. For instance, all businesses have to deal with human resources and accounting, so it’s no surprise that there exist accounting and HR system software that can drastically cut down the amount of time dealing with potentially huge amounts of data.
Communication is essential to getting any kind of work done at a productive rate. The few extraneous communication, the less work interruption. The clearer the important messages, the less likely you are to lose hours due to mistakes and misunderstandings. Tech is regularly used as the main tool for communication in large teams hard at work. Yet it can also be a real-time sink. Make sure that employees are taught to manage emails efficiently so the right messages are more easily found and that IMs aren’t used for full-blown conversations. To help the relevant teams share information amongst one another, you should look beyond free apps like Google Hangouts and onto options like Hipchat.
As well as getting the right tools, whether they be apps or hardware, you have to also talk to the team about how they’re supposed to use them. Consider creating a brief manual for them to get acquainted with or spending a morning briefing and teaching everyone the new way things are done. The quicker it gets integrated, the more productive your business becomes.
